Privacy Policy

This policy explains what information SOS AI collects, why, who sees it, and how to ask for it to be corrected or removed. SOS AI is run by Outbound SOS in Kelowna, British Columbia, Canada. It covers gosos.ai and the SOS AI service. Outbound SOS's other websites and social pages, including outboundsos.com, have their own policy at outboundsos.com/privacy.

The short version

  • This website does not set cookies of its own today. SOS AI may add cookies or analytics later to see how the site performs and how it is used, so the service can be improved. This policy will be updated first if that happens.
  • Forms and booking links open on HubSpot and Calendly. What you submit there comes to SOS AI.
  • SOS AI uses a customer's private information to provide that customer's service. The rule is that it is not shown to other customers. The Your Data page says which protections are live and which are still being built.
  • SOS AI also holds business profiles of people and companies, built from public and licensed sources. A person in a profile can ask to be removed.
  • To ask anything about your information, email privacy@gosos.ai.

1. What this website collects

gosos.ai does not set cookies of its own today, and it does not ask for information on the page itself.

SOS AI may start using cookies or similar tools, such as website analytics. The reasons would be to keep the site fast and secure, to understand which pages are used and how visitors reach them, and to improve the site and the service. Information collected this way would be technical and about use of the site, such as pages visited, device and browser type, and approximate location. If SOS AI starts, this policy is updated before it begins, and where the law requires consent, you will be asked for it. Security and delivery services such as Cloudflare, once switched on, can also set cookies that keep the site safe and working.

Like every website, the servers that host it record technical details of each visit, such as the IP address, browser type and pages requested. These logs are used to run and protect the site. The hosting provider keeps them for a limited time under its own settings.

Some links leave this site. Forms (HubSpot), booking (Calendly) and the podcast (Substack) are run by those companies and have their own privacy policies and cookies. SOS AI receives what you submit through its HubSpot form and Calendly bookings, which is covered in section 2.

3. Company and contact profiles

SOS AI builds profiles of companies and of the people who work at them, so customers can find the right person at the right company. A profile can include a name, employer, job title, work email address or phone number, and public links.

These profiles are built from publicly available business information, such as employer websites, public filings and directories, and from licensed data providers. SOS AI collects only what a person could find publicly without logging in or getting around a security control.

Profiles are shared. The same person or company can appear for more than one customer. The rule is that what a customer adds privately, such as notes or deal details, is not shown to other customers. The Your Data page says how this is enforced and what is still being built.

Profiles are used so customers can identify and reach the right person for business purposes.

To be removed from profiles, email privacy@gosos.ai. SOS AI stops showing your profile and keeps a minimal record of your request, just enough to recognize you, such as your name and employer, so you are not added again. That record is used only to honor your request.

4. How information is used

SOS AI uses a customer's private information to provide that customer's service. It uses contact details from forms and bookings to reply to enquiries, scope work, agree fees and stay in touch about the work. It also uses technical information to run and protect the service. Service providers and support staff can see information only as needed to run and support the service.

SOS AI uses AI models to read, summarize and reason about information. To do that, the information the AI needs is sent to AI model providers for processing. These providers include OpenAI and Anthropic. Each provider handles information under its own terms and privacy policy.

6. Who information is shared with

SOS AI shares information with companies that help run the service, such as hosting and database, email, messaging, forms and scheduling, AI model, and search and data providers. Providers in use include Supabase (database), Slack (messaging), HubSpot (forms), Calendly (booking), OpenAI and Anthropic (AI models), Tavily (search), Apollo (business data) and Bluehost (website hosting). Cloudflare and Google Workspace (email) are being added. The list changes as the service changes, and this policy is updated when it does.

Company and contact profiles (section 3) are available to SOS AI customers as part of the service.

SOS AI shares information when the law requires it, to protect the rights and safety of SOS AI, its customers or others, and as part of a sale or reorganization of the business.

SOS AI does not sell customers' private information. Making company and contact profiles available to customers is part of the service and is described in section 3.

7. Where information is stored

SOS AI's database is hosted by Supabase in the United States. Information can be processed in Canada, the United States and other countries where SOS AI's providers operate. Those countries have their own laws, which may allow authorities to access information held there.

8. Security

SOS AI protects information as described on the Your Data page. No system is perfectly secure, and SOS AI cannot guarantee that information will never be accessed without permission.

9. How long information is kept

SOS AI keeps information for as long as it is needed for the purposes in this policy, or as the law requires. In practice:

A suppression record (section 3) is kept for as long as it is needed to honor the request.

10. Your choices and rights

You can ask SOS AI to show you, correct or delete the personal information it holds about you, to stop using it, or to stop sending you messages. Email privacy@gosos.ai. SOS AI confirms who is asking before it acts, and replies within 30 days.

Some records are kept after a request: records SOS AI must keep by law, and the suppression record in section 3. Backup copies are cleared on their normal cycle.

If you are in Canada, you can also complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca. If you are in the EU or UK, you can also contact your local data protection authority.

11. Children

SOS AI is for businesses and is not directed at children. It does not knowingly collect information from children.

12. Changes to this policy

SOS AI updates this policy as the service changes. The date at the top shows the latest version.
